Court Appointed Special Advocate (CASA) Program of Westmoreland County

Title of Position: Program and Administrative Assistant

This non-exempt position is responsible, in part, for the successful day to day operations of the CASA program and requires a qualified professional to assist the program with service provision on behalf of abused and neglected children in Westmoreland County. The candidate should have the following qualifications:

  • Possess a minimum of a high school diploma or GED; and
  • Excellent interpersonal, organizational, verbal and writing skills
  • Displays problem solving skills, teamwork and dependability
  • Must possess ability to function independently, take initiative, have flexibility and the ability to work effectively with public, co-workers and others
  • Is proficient in various computer software programs (ex. Microsoft office suite)
  • Has the ability to learn assigned clerical tasks
  • Prior experience working with children and families at risk, working in a non-profit or human services setting, or engaging in special event planning and coordination is preferred
  • Applicant must complete clearances prior to start date

Duties and Responsibilities

Program Operations

  • Assisting program staff with case related data entry (ie. volunteer timesheets, OPTIMA data system)
  • Assist with preparations for Volunteer Advocate trainings
  • Respond to new volunteer inquiries
  • Cultivate current volunteer inquiries
  • Schedule advocate interviews
  • Maintain potential advocate personnel files, including reference checks, until training commences

Administrative Operations

  • Answering phone calls and providing messages to other CASA staff / volunteer advocates
  • Handling incoming and outgoing mail
  • Keep inventory of office supplies and provide monthly supply orders to Executive Director
  • Enter all donor information into software program (ie. Donor Perfect)
  • Ensure all donors are promptly and appropriately thanked
  • Assist with planning and implementation of special events
  • Assist in implementation of activities before and during each event

Agency Development

  • Attend staff meetings and provide updates / input as needed
  • Assist with outreach and development activities as needed
  • Perform other job-related duties as required

Job Type: Full-time

Salary: $8.50 to $11.00 /hour

Experience:

  • Data Entry: 2 years (Preferred)
  • Customer Service: 2 years (Preferred)
  • administrative assistant: 2 years (Preferred)

Education:

  • High school or equivalent (Required)

License:

  • Driver's License (Preferred)
